- Property data: property address and details relevant to a survey or quote
- Communications: messages and enquiries you send to us

We do not collect any special category data (such as health, financial or criminal record information).

5. Sharing Your Information
We do not sell your personal data. We may share your data with:
- Trusted subcontractors and fitters where necessary to carry out your installation
- IT and software service providers who process data on our behalf under appropriate data processing agreements. Our principal providers include Microsoft (email and productivity), Google (analytics and business listings), Cloudflare (website security), Twilio (telephony), xAI (AI virtual assistant), Resend (transactional email) and our website hosting provider
- Regulatory bodies or law enforcement where required by law
All third parties are required to process your data securely and in accordance with applicable data protection law.
6. AI Virtual Assistant & Call Handling
Some calls to our office may be answered by an AI virtual assistant rather than a human team member. This is most likely to happen when our team are with other customers, outside of standard office hours, or in periods of unusually high call volume. The assistant will introduce itself clearly at the start of the call.
What we collect during these calls:
- Your name
- Your contact telephone number
- The town or area you are calling from
- A short summary of your enquiry
What we do not do:
- We do not record the audio of these calls
- We do not retain a transcript of the conversation
- We do not use call data to train AI models
- We do not share call data with third parties beyond the technical providers listed below
Third-party processors involved: To deliver this service we use Twilio Inc. (telephony provider, USA), xAI (the AI service provider, USA) and Resend (email delivery provider, EU). Each processes only the data needed to perform their part of the service. International transfers to the USA are protected by appropriate safeguards including the EU-US Data Privacy Framework and Standard Contractual Clauses.
Your choice: If you would prefer to speak directly to a member of our team rather than the virtual assistant, simply ask the assistant to have someone call you back, or call again during our standard office hours (Monday to Thursday 8am–5pm, Friday 8am–3pm) when our team are most likely to answer in person. Lawful basis: We process this data on the basis of legitimate interests — specifically, to manage incoming enquiries efficiently and ensure customers receive a prompt response. The summary of your enquiry is then handled in the same way as any other enquiry under this policy.
7. Data Retention
We retain your personal data for as long as necessary to fulfil the purposes for which it was collected:
- Enquiries that do not become contracts: up to 12 months
- Customer records (completed contracts): 7 years from the end of the contract, in line with HMRC requirements
- Website analytics data: up to 26 months
8. Your Rights
Under UK GDPR you have the right to:
- Access a copy of the personal data we hold about you
- Rectification of inaccurate or incomplete data
- Erasure ("right to be forgotten") in certain circumstances
- Restriction of processing in certain circumstances
- Data portability in certain circumstances
- Object to processing based on legitimate interests, including AI-assisted call handling
- Withdraw consent at any time where processing is based on consent
